6Does Speak2Action comply with GDPR?
Speak2Action is designed with GDPR compliance as a baseline. We enter into a data processing agreement with every customer before the pilot starts. In it, we document what we process, why, and for how long. We are actively closing the remaining compliance gaps before a broader external launch.

Our primary infrastructure runs on servers within the European Economic Area (EEA). For AI processing we use OpenAI and Anthropic. With both parties we have data processing agreements and transfer impact assessments in place, in line with EDPB recommendations.

Only you and the team members you grant access to. Speak2Action employees have no access to the content of your meetings unless you explicitly ask us for support.

No. Your conversation data is not used to train AI models, not by Speak2Action and not by the AI providers we use. Model improvement opt-ins are disabled with all providers.

Conversation data is retained for as long as you are an active customer. After the contract ends, your data is deleted in line with the data processing agreement, typically within 30 days.

We are a startup and do not yet hold ISO 27001 certification. We do work with a documented security approach and can share our security documentation on request.

2Does Speak2Action fall under the AI Act?
Speak2Action does not, in its current form, fall under the prohibited AI practices (Article 5) and is not a high-risk AI system within the meaning of Annex III of the EU AI Act. Relevant measures on transparency and AI literacy (Articles 4 and 50) do apply. We keep our classification up to date as usage and legislation evolve.

For most business users, little changes. The AI Act places responsibility primarily on us as the provider. We document our AI components and keep our classification up to date as legislation progresses.

4Does Speak2Action work with our CRM?
Speak2Action is currently integrated with HubSpot. Integrations with other CRM systems are in development. Get in touch if you want to know whether your system is already on the roadmap.

No. Speak2Action adds data to your existing CRM structure. You do not need to remove fields or restructure your processes to get started.

You can still use Speak2Action. The output, including summaries, action items, and follow-up emails, is delivered directly in the app or by email.

8What exactly does Speak2Action do?
After a customer meeting or conversation, you record a short voice memo. Speak2Action converts it into a structured summary, action items, a follow-up email to the customer, and CRM notes that are ready to review, send, or save.

Quality depends on the clarity of your memo. With structured input of one to three minutes, the output is directly usable. We recommend reviewing briefly in the first few weeks so you learn what works and what doesn't.

Speak2Action works primarily in Dutch and English. Other languages are technically possible but have not yet been tested or optimized.

Yes. Speak2Action is available as a mobile app for both iOS and Android. You record your memo directly from the app, right after the meeting. No laptop needed.

There is no hard time limit, but we recommend memos of one to three minutes. With structured input of that length, the output is immediately usable. Longer memos work too, but quality drops without structure.

6What does a pilot look like?
We start with a brief onboarding, guide the team throughout the pilot, and evaluate together at the end. You only pay for a subscription after the pilot.

A standard pilot runs four to six weeks. Long enough to build a habit and see real results, short enough to evaluate quickly.

We work with teams of two or more. Smaller than that leaves too little to compare. The ideal range is four to ten account managers.

We work with team subscriptions. The indicative price is between €40 and €60 per person per month, depending on team size and the integrations you need. Exact pricing is discussed during an introduction call.

The technical setup is done within a day. Onboarding the team with explanation, first use, and brief instruction takes half a day. After that you're operational.

Those tools record meetings and transcribe them. Speak2Action works differently: you decide what to capture via a short voice memo after the conversation. No customer recording, no consent needed, and no long transcripts nobody reads. The output is immediately usable, not raw text, but a structured summary, action items, and a follow-up email.

That is exactly the problem Speak2Action was built for. The hurdle of 'I still need to work this out' disappears when you speak for 90 seconds right after a meeting and the rest happens automatically. But honestly: the tool only works if people actually use it. That requires guidance, and that is part of our pilot.

No. Speak2Action adapts to what you speak in. There is no required structure. You can set up templates if you want the output to always come in a fixed format, which is useful if you want multiple account managers to work with the same structure.

Technically yes, but it is primarily built for customer conversations. For internal meetings there are better tools. Use Speak2Action where it excels: external conversations with commercial follow-up.

5What if the output quality is disappointing?
Then we want to hear about it. During the pilot we actively work on improving the output based on your feedback. If after the pilot the quality is consistently not up to standard, you do not take out a subscription. No fine print.

Yes. There is no obligation to continue. The pilot is designed to discover whether it works for your situation, not to lock you in.

Upon termination of the contract, your data is deleted in accordance with the agreements in the data processing agreement. You can request an export of your own data in advance.

No. After the pilot we work with quarterly or annual subscriptions. Annual gives a better price, but we do not force anyone into long commitments at an early stage.
